1. Who we are
Taplo (“we”, “us”, “our”) provides a desktop application for recruiters to manage interviews, calendar reminders, recordings, and AI-assisted write-ups. The service is operated from Sweden.

2. What this policy covers
This policy applies to personal data processed when you visit our marketing site, download the app, create an account, connect integrations (such as calendar providers), or use Taplo’s features. It does not cover third-party websites or services you access outside Taplo.
3. Data we collect
Depending on how you use Taplo, we may process:
- Account and contact details — such as name, email address, and billing information if you subscribe to a paid plan.
- Calendar and meeting metadata — event titles, times, attendees, and related information when you connect Google Calendar, Microsoft Outlook, or similar services.
- Interview content — audio recordings, transcripts, notes, job descriptions, candidate or role context you provide, and AI-generated summaries or reports.
- Usage and technical data — app version, device/OS type, logs, crash reports, and approximate usage metrics to keep the service reliable and secure.
- Website data — basic analytics or cookies on taplo.app (for example, to measure visits or remember preferences), where applicable.
Some data is stored locally on your device; other data is sent to our servers or trusted processors when a feature requires it (for example, transcription or cloud sync).
4. How we use your data
We use personal data to:
- Provide, maintain, and improve Taplo’s features;
- Sync calendars, send reminders, and process recordings;
- Generate transcripts, summaries, and client-ready outputs;
- Process subscriptions, invoices, and customer support;
- Detect abuse, fraud, and security incidents;
- Comply with legal obligations and enforce our terms.
We do not sell your personal data. We do not use interview recordings or transcripts to train general-purpose AI models for unrelated products unless we clearly tell you otherwise and you agree.

- Contract — processing needed to deliver the service you signed up for;

6. Recording interviews and consent
Taplo can record conversations during interviews. You are responsible for obtaining any legally required consent from participants and for complying with employment, privacy, and wiretapping laws in your jurisdiction. We provide tools; we do not decide whether recording a specific meeting is lawful for you.
7. Third-party processors
We use carefully selected service providers who process data on our instructions, such as:
- Cloud hosting and infrastructure (for example, application hosting);
- Calendar APIs (Google, Microsoft) when you connect your account;
- Meeting capture and transcription partners (for example, Recall.ai);
- AI providers (for example, OpenAI or Anthropic) to analyse transcripts and generate text;
- Payment processors if you purchase a subscription;
- GitHub for distributing desktop installers from our releases page.
These providers have their own privacy policies. We require them to protect data under contractual terms appropriate to the service.
8. International transfers
Your data may be processed in Sweden, the EU, or other countries where our processors operate. When data is transferred outside the EEA/UK, we use appropriate safeguards (such as Standard Contractual Clauses or equivalent mechanisms) where required by law.
9. Retention
We keep personal data only as long as needed for the purposes described above, including while your account is active and for a reasonable period afterward for backups, disputes, and legal compliance. You may request deletion subject to exceptions (for example, ongoing billing records or legal holds).
10. Security
We implement technical and organisational measures designed to protect personal data, including encryption in transit where supported, access controls, and monitoring. No method of transmission or storage is 100% secure; you should also protect your device and account credentials.
11. Your rights
